CONSTITUTION

AS REVISED — MARCH 1999

ARTICLE 1

SECTION 1

The name of this organization shall be "The Illini Dairy Club".

SECTION 2

This organization shall also be known as "The University of Illinois Student Affiliate Chapter of the American Dairy Science Association".

ARTICLE II

SECTION 1

To organize students and faculty members with interests in dairy science for their mutual benefit, to broaden their knowledge, and to stimulate a greater interest in the dairy industry.

SECTION 2

To promote a closer relationship between the faculty and the students of the Department of Animal Sciences with a dairy interest.

SECTION 3

To cooperate with other agricultural organizations and other agricultural activities on the campus.

ARTICLE III

SECTION 1

All undergraduate students in the University of Illinois are eligible for membership in the Illini Dairy Club.

SECTION 2

All graduate students of the Department of Animal Sciences are eligible for membership but are ineligible to hold an office in the club.

SECTION 3

All faculty members of the Department of Animal Sciences are ex officio members without having the power to vote.

ARTICLE IV

SECTION 1

Dues shall be set at the first regular meeting each fall.

SECTION 2

All money received by the Club, not otherwise provided for in these articles, shall constitute a fund to be appropriated and disposed of as the Club sees fit.

ARTICLE V

SECTION 1

The officers of this organization shall be a President, a Vice-President, a Secretary, a Treasurer, a Reporter, two ACES Council Representatives and a Pipeline editor.

SECTION 2

Any vacancies shall be filled by election at the first business meeting following their occurrence.

SECTION 3

The Standing Committees of this organization shall be a Program Committee chaired by the Vice-President, a Refreshment Committee chaired by the Treasurer and a Publicity Committee chaired by the Reporter.

ARTICLE VI

SECTION 1

Duties of President

1. The President shall obey and enforce the Constitution and By-Laws of the Illini Dairy Club.
2. The President shall appoint all committees of the Club and also require a written progress report of the committee’s activities from each committee chair at each meeting and a final report at the end of the committee’s duties.

SECTION 2

Duties of Vice-President

1. The Vice-President shall assist the President as the President may direct.
2. The Vice-President shall be the chair of the Program Committee. See Article VI, Sec. 8.
3. The Vice-President shall submit club news to the ADSA Pipeline at least once a year.

SECTION 3

Duties of Secretary

1. The Secretary shall keep a record of the proceedings of all the meetings in a book provided for that purpose, which he/she shall produce at each meeting and transfer to his/her successor at the expiration of his/her term in office. The secretary shall deposit all books and records in space provided by the Department of Animal Sciences during the summer months.
2. The Secretary shall keep an alphabetical list of all members with their local and e-mail addresses.
3. The Secretary shall do all necessary clerical work as requested by the President.
4. The Secretary shall see to the announcement of all meetings at least five days preceding each meeting, and attend to all general correspondence.

SECTION 4

Duties of Treasurer

1. The Treasurer shall be entrusted with all the money and property of the Club.
2. The Treasurer shall collect all dues and fees of members, and have custody of same.
3. The Treasurer shall keep a record of all receipts and disbursements; accounts must be open to inspection at all times.
4. The Treasurer shall submit a full report of the financial standing of the Club at the last meeting of each semester and shall make necessary reports to the proper University official.
5. The Treasurer shall be the chair of the Refreshment Committee. (See Article VI, Section 9)

SECTION 5

Duties of Reporter

1. The Reporter shall serve as chair of the Publicity Committee. (See Article VI, Section 10)
2. The Reporter shall be responsible for the publicity and photography of club events.
3. The Reporter shall maintain the Club Bulletin Board, the Club Web Page and the Club Scrapbook.
4. The Reporter shall maintain an email list of all members and shall send notices of meetings and activities to everyone on the list.

SECTION 6

Duties of ACES Council Representatives

1. Two ACES Council Representatives shall act as official representatives of the Illini Dairy Club on the ACES Council; however, they shall not have the power to make financial commitments for the Club without its approval.

SECTION 7

Duties of Pipeline Editor

1. The Pipeline editor shall be responsible for publishing the annual Club magazine, the Pipeline.

SECTION 8

The Program Committee shall arrange the program for each meeting.

SECTION 9

The Refreshment Committee shall arrange for refreshments at each meeting.

SECTION 10

Duties of the Publicity Committee

1. The Publicity Committee shall keep in touch with dairy interests outside the University; including the Student Affiliate Program of the American Dairy Science Association, and be responsible for all other publicity for the Club.
2. The Publicity Committee shall be responsible for organizing and preparing a scrapbook of all Club activities to be on review at the annual meeting of the American Dairy Sciences Association.

ARTICLE VII

Regular meetings shall be held monthly, at such time and place as may be chosen by the Club.

ARTICLE VIII

The Club shall have the power to alter or amend these articles by a two-thirds vote of the members present at any regular meeting, provided the motion for such an amendment has been made at a previous regular meeting.

ARTICLE I

A quorum for the transaction of business shall consist of one-fourth (1/4) of the voting members of the Club.

ARTICLE II

The Advisory Board shall consist of the officers of the Club, and three faculty or staff members who will be approved by the Head of the Department of Animal Sciences from a list of nominees named by the Club. For purposes of continuity, it is suggested that the three advisors serve three-year terms and that these terms should be arranged so that one advisor’s term expires each year and one new advisor is appointed each year. The terms of faculty advisors shall begin August 21. This board shall have authority to transact business between Club meetings. A quorum to transact business shall be one club advisor and at least three officers.

ARTICLE III

SECTION 1

All officers shall be elected to serve for one calendar year, except that the Pipeline Editor shall oversee the production of the Pipeline over the next academic year.

SECTION 2

A Nominating Committee shall consist of the seniors in the Club and the faculty advisors.

SECTION 3

Officers shall be elected by a majority vote of those present having the power to vote.

SECTION 4

Officers shall be elected during the last regular fall semester meeting.

ARTICLE IV

Robert’s Rules of Order (Revised) shall govern in all cases.

ARTICLE V

The Club shall have the power to alter these articles by a two-thirds vote of the members present at any regular meeting, provided the motion for such an amendment has been made at a previous regular meeting.
