Duties of Officers

 

Ratified by a 3/4 approval on April 27, 2007

 

Section 1:             President - The President shall:

a)      Preside over all meetings of the club and the Executive Board.

b)      Overlook all club functions and officer responsibilities.

c)      Hold mandatory officer meetings.

d)      Appoint chairpersons of all standing committees prior to the second business meeting of the fall semester.

e)      Be in charge of getting the mail from 132 ASL.

f)        Perform other such duties as the Executive Board deems necessary.

g)      Follow the President’s schedule.

h)      Get sponsors for the rodeo.

Section 2:            Vice President of External Affairs (First Vice President) -

The External Vice President shall:

a)      Act as the First Vice President of the club and assist the president in all endeavors.

b)      Lead meetings in the absence of the President.

c)      Become President in the event the president is unable to fulfill his/her duties.

d)      Act as the Assistant Special Events Coordinator.

e)      Be in charge of all club events and demonstrations regarding the public or the University of Illinois.  i.e.) Gordyville, philanthropy, call out, Explore ACES, etc.

f)        Report on club external events at each business meeting.

g)      Be in charge of club merchandise sales at Pards.

h)      Be in charge of trick ropes at Gordyville and the club rodeo.

i)        Get Sponsors for the rodeo.

Section 3:            Vice President of Internal Affairs (Second Vice President) -

                        The Internal Vice President shall:

Act as the Second Vice President of the club and shall assist the President and External Vice President in all endeavors.

Become the President if both the President and External Vice President are unable to fulfill their duties.

Become External Vice President if he/she is unable to fulfill his/her duties.

Organize all social events/trips for the club.  i.e.)  Hampton Trip, Rodeo Schools, Bar Crawls, PBR events, PRCA rodeos, etc.

Report on club internal events at each business meeting.

Organize all club merchandise orders.  i.e.)  button up shirts, t-shirts, polo shirts, hats, etc.

Get sponsors for the rodeo.

Section 4:            Special Events Coordinator- The Special Events Coordinator shall:

a)      Be in charge of the annual Rodeo Club Stampede.

b)      Contact the stock contractor (i.e. Kevin Hampton), venue owner (i.e. Jeff Wendling), arena owner (i.e. Willie Clemm), and band (i.e. Southern Cross) to confirm the rodeo dates, the next to last weekend in April, prior to the first business meeting of each school year.

c)      Make contact with all chute/$1,500 sponsors from the previous year rodeo prior to fall break.

d)      Make contact with any new chute/$1,500 sponsors for the rodeo prior to winter break.

e)      Update sponsor list and contact info from files.

f)        Delegate sponsors for each officer and club member.

g)      Delegate rodeo infrastructure responsibilities for officers and members.  i.e.)  Bleachers, lights, water tank, band trailer, band tent, announcer booth, fork lift, etc.

h)      Provide a rodeo progress report to the club at every business meeting.

i)        Get sponsors for the rodeo.

Section 5:            Treasurer - The Treasurer shall:

a)      Maintain all financial records of the club.

b)      Be responsible for paying all bills and collecting revenues.

c)      Control checks and keep check book balanced.

d)      Collect dues and control member forms and liability waivers for equipment.

e)      Inform all previous members that membership dues will be due at the first business meeting of the fall semester and new member dues will be due at the second meeting of the fall semester

f)        Keep a current record of paid members.

g)      Report the club financial standing, income, and expenditures at all business meetings.

h)      Collect money prior to and after the rodeo and create a balance sheet for the rodeo.

i)        Maintain cash box for fundraising events.

j)        Attend SORF/Treasurer/RSO informational meetings, apply for SORF funding, and collect and turn in receipts to receive SORF money from the account.

k)      Establish new account holders for the coming year prior to the end of the spring semester, recommended President, Treasurer, Special Events Coordinator.

l)        Be responsible for getting pizza and beverages for business meetings.

m)    Get sponsors for rodeo.

Section 6:            Secretary - The Secretary shall:

a)      Take meeting minutes and email them to club members.

b)      Update the email list of current members.

c)      Send out reminder emails about events, demonstrations, meetings, etc.

d)      Keep members informed of all functions.

e)      Take and keep record of attendance at all business meetings.

f)        Read the minutes of the previous business meeting at all business meetings.

g)      Get sponsors for the rodeo.

Section 7:            ACES Council Representatives (2) - The ACES Council Reps shall:

a)      Attend one ACES council meeting per month on the last Monday night of the month at 8:00pm.

b)      Report to the club on the monthly ACES Council Meeting and other ACES events taking place.

c)      Get sponsors for the rodeo.

Section 8:            All of the aforementioned officers shall be elected positions.
